When you have been assigned for 'Primary' or 'Backup' GungaDin duties in the coming Sundays - typically of the next month, you would get the following supplies a week or so before your first assigned Sunday:
- 3 coolers, one large (6 gallons) and two standard size (5 gallons)
- 3 milk crates. These will be used as platforms for coolers to elevate the coolers' spigots relative to ground.
- Sufficient number of sport mix packets to cover your assigned Sundays
- Sufficient number of cups to cover your assigned Sundays
You will need to bring your own trash bags (2 per Sunday) to collect the used cups and other trash. You may also choose to supply ice with the water/sport mix. See tip number 4 below. We recommend that you should also bring a screw driver or similar device to help you pry open the large cooler's lid.
On your last assigned Sunday you will return any unused cups and sport mix packets to the GungaDins' coordinator. Your replacement GungaDin (or the coordinator) will pick your coolers and crates from your station.
The assignments will be posted on the RR Web site. A few days before your next assigned Sunday you will get an e-mail reminding you of your pending assignment and providing you with instructions how to get - by car - to your station. You will need to respond by e-mail and to convey whether you will be available to serve on that Sunday. Before your first assignment you will get an e-mail detailing how and when you would get your supplies. You will need to respond to that e-mail, too.
Please review the following tips. They will help you in taking care of your station and your customers - the RR runners and walkers.
- Set up the start/finish water station just before the start time to let participants drink ahead of run/walk activity. You do not need to consider earlier starts. Note, typically you will need 100-125 cups to be available in each water station.
- Assume a pace of 11 to 12 minutes per mile to estimate the time-span of your station. For example, if you are responsible for a station located at mile 10, wait 110 to 120 minutes (2 hours) before clearing the station. You can leave early and retrieve the supplies later. If you are about to remove the supplies but you are not sure about late stragglers, leave behind few cups filled with water.
- Use the larger cooler (6-gallons) for the sport drink. Two packets of the mix is recommended. Stir the mix thoroughly so it won't settle at the bottom of the cooler.
- You do not need to add ice. Tap water is ok. However, cold drink in the heat of the summer will be much appreciated. One standard size bag per cooler is sufficient. The club will reimburse you for the ice expenses when these are backed with receipts.
- As needed, use masking tape to identify the content of the cooler. Labels such as "WATER" and "SPORT DRINK" are ok.
- Place the coolers on the milk crates with the spouts facing towards the course's path.
- Place the coolers 2' to 3' (feet) apart. The sport drink cooler should be in the middle.
- Attach trash bags to the two outer handles of the outer coolers.
- Place the coolers as far away as possible from the edge of the trail so drinkers will not clog the trail.
- Keep the coolers clean. You are encouraged to bleach and scrub clean the coolers once a week before the run. Don't forget the spigot area. Store the coolers with the lid open to eliminate any leftover moisture.
- Empty the coolers and remove all equipment, left-over supplies and trash when you are done with the station.
